Privacy Policy

Last updated: September 2026

If you have any questions about this policy or how we handle your information, please contact us at info@alluradental.com.au or 03 8342 8888.

Allura Dental ("we", "us", "our") is committed to protecting the privacy of everyone who visits our website, makes an enquiry, books an appointment or receives dental care with us. Keeping your personal and health information private and secure is central to the trust our patients place in us.

As a Victorian health-service provider, we handle your information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and the Health Records Act 2001 (Vic). This policy explains what we collect, why we collect it, how we use and protect it, and how you can access or correct the information we hold. It applies to website visitors, enquiries, appointment bookings and the dental care we provide.

1. Information we collect

To provide safe and appropriate care, we collect two broad kinds of information:

  • Personal information — such as your name, date of birth, home address, phone number and email address, along with your payment details and, where relevant, your private health-fund membership and Medicare details.
  • Sensitive health information — such as your medical and dental history, clinical notes and examination findings, X-rays and 3D imaging, and your treatment and progress records. This information is collected so we can diagnose, plan and deliver your care safely.

2. Information about children

For patients under 18, or anyone who is unable to consent for themselves, we collect the consent and contact details of a parent or guardian. This includes information needed to check eligibility for bulk-billing schemes such as the Child Dental Benefits Schedule (CDBS). Allura Dental is an approved CDBS provider and an independent business, not affiliated with or operated by the Australian Government. A parent or guardian may act on the patient’s behalf in relation to the information we hold.

3. How we collect information

Wherever practical, we collect information directly from you — in person at the practice, over the phone, when you book online, through the enquiry form on our website, or when you message us on WhatsApp. We also collect information from the medical-history forms you complete, from referrals or reports provided by other health practitioners involved in your care, and automatically through website analytics when you browse our site (see the section on cookies and analytics below).

4. Why we collect your information

We collect and use your information to:

  • schedule, confirm and manage your appointments;
  • diagnose your condition and plan and deliver your treatment;
  • process payments and lodge private health-fund and Medicare (including CDBS) claims;
  • send you appointment reminders and recalls for ongoing care;
  • coordinate your care with other practitioners where needed; and
  • meet our legal, regulatory and professional obligations.

5. When we may share information

We share your information only where it is necessary for your care or required by law. Depending on your circumstances, this may include:

  • the dentists and clinical team treating you;
  • dental laboratories that make appliances, crowns or dentures for you;
  • specialists or other practitioners we refer you to;
  • your private health fund and Medicare, for claiming and rebates;
  • secure IT and practice-software providers that support our systems; and
  • regulators, courts or other bodies where we are required or authorised by law to disclose.

We also use third-party service providers to run our website, take online bookings, receive enquiries, send messages and measure visits, so your information may be collected and handled by them on our behalf. Our website itself doesn’t store the details you enter when you book or enquire; they are handled by these services.

We do not sell your personal or health information.

6. Referrals and other health providers

Good dental care often involves working alongside other practitioners. Where this happens, we share the relevant clinical information — such as your history, imaging and treatment notes — with the specialist, dentist or health provider involved in your care, obtaining your consent where it is required.

7. Appointment reminders and communications

We use our practice software to contact you by phone, SMS and email for appointment confirmations, reminders, recalls for ongoing care, and important updates about our services, and if you message us on WhatsApp we may reply there. Please be aware that SMS, email and WhatsApp are convenient but are not perfectly secure forms of communication; let us know if you would prefer we contact you a particular way.

8. Marketing communications

We only send marketing communications, such as practice news or offers, where you have consented to receive them, and every message includes an easy way to opt out. Opting out of marketing will not stop the essential appointment and care communications described above.

9. Website, cookies and analytics

The Allura Dental website uses Google Analytics 4 to count visits and see which pages are useful, so we can improve the site for patients in Truganina and Melbourne’s west. Analytics cookies are on by default. On your first visit a short notice at the bottom of the screen says so and offers Accept all, Reject all or Customise; if you ignore it, it closes itself without recording anything. From then on a small cookie button in the bottom-left corner of every page opens the same settings whenever you want them. The cookies needed to run the site are always on and identify nobody: page display, security, remembering your choice here, and the services embedded in our pages — online booking, maps and web fonts — without which you could not book an appointment. The settings panel lists five categories; only Analytics is in use today, and the others are there so your preference already applies if we ever add one. Google’s advertising signals are also on by default, so if our analytics is ever linked to Google advertising, the data could be used for ad measurement and personalisation. We don’t run advertising or remarketing tags on this site, so we don’t set any advertising cookies ourselves. If we ever add them, we will update this policy first.

To turn analytics off, select Reject all, or open the cookie button (or Cookie settings in the footer of any page), switch Analytics off and select Save my preferences. This also switches off advertising signals. Google Analytics then stops on our site, its cookies are deleted where your browser allows, and your choice is remembered on that device and browser. You can switch it back on the same way. Your browser settings can also block or clear cookies.

Analytics shows us things like the pages viewed, how visitors found the site, device and browser type, and approximate location. Like most websites, we also receive standard technical information such as your IP address. We use this only to run and improve the site, and Google may process it on servers outside Australia (see section 11). We do not use it to identify you, and we never link it to your patient record or any clinical information. The analytics switch controls the analytics on our own pages. It doesn’t control embedded third-party services, such as online booking, maps and fonts, which may set their own cookies (see section 10).

10. Third-party services and websites

Allura Dental in Truganina uses third-party services, such as our online booking, enquiry form and messaging services, to run the practice and this website on our behalf, and this policy applies to the information they handle for us. Our pages also embed services such as maps and fonts, and link to external websites we don’t control, such as our social-media pages; those providers’ own privacy terms apply to the information they collect.

11. Overseas disclosure

Some of the third-party services we use may store or process information outside Australia. Where this occurs, we take reasonable steps to ensure your information continues to be protected to a standard consistent with Australian privacy law.

12. How we protect your information

We use a combination of physical, administrative and technical safeguards to protect your information from misuse, loss and unauthorised access, modification or disclosure. These include restricted access to records, password protection, secure storage and regular backups. While we take security seriously, no system can guarantee absolute protection, and we cannot promise that information transmitted over the internet is completely secure.

13. How long we keep your information

We keep your records for as long as necessary to provide your care and to meet our legal and professional obligations, after which we securely destroy or de-identify them. In line with the Health Records Act 2001 (Vic), health records are kept for at least 7 years after your last visit; for a patient who was a child at their last visit, records are kept until they turn 25.

14. Accessing your information

You have the right to request access to the personal and health information we hold about you, under the Australian Privacy Principles and the Health Records Act 2001 (Vic). We may need to verify your identity before releasing information, and in limited cases a reasonable fee may apply to cover the cost of providing access. We will respond to your request within a reasonable time.

15. Correcting your information

If any information we hold about you is inaccurate, incomplete or out of date, please let us know and we will correct it. For clinical records, corrections are recorded as an addition to the record rather than by erasing the original entry, so that your clinical history remains complete and accurate.

16. Data breaches

If we suspect a data breach involving your information, we investigate promptly and take steps to contain it and reduce any harm. Where the Notifiable Data Breaches scheme requires, we will notify the individuals affected and the Office of the Australian Information Commissioner (OAIC).

17. Privacy questions and complaints

If you have a question or concern about how we handle your information, please contact us first using the details below so we can try to resolve it. If you are not satisfied with our response, you may escalate the matter to the Office of the Australian Information Commissioner at oaic.gov.au, or to the Health Complaints Commissioner Victoria at hcc.vic.gov.au.

Changes to this policy

We may update this policy from time to time. The current version will always be available on this page.
